New Hamburg Board of Trade Executive Meeting

June 11, 2008

Present: Paul Knowles, Tim Bender, Nigel Gordijk, Ed Lemont, Tom Hinz, Lynne Mackie, Larry Zehr, Doug Brenneman, Terry McIntosh, Audrey Cook, Dave Seyler. The meeting was held at the home of Lynne Mackie. Two guests attended, Nancy Ripley, chair of 150th Anniversary and Haly Williamson, student tourist office employee for summer of 2008.

Motion to approve minutes of previous meeting, Lynne, second Tom.

Haly was introduced to the committee and a brief outline of her job description was given by Paul. Her duties will begin Fri. June 12, 2008.

150th Anniversary report. Nancy informed us that events are coming together. Besides Doors Open being involved there will be butter and ice cream churning, rope making, blacksmithing and a parade. Schools will be involved as well and people will be encouraged to dress in costume as they attend the events. The costs that the Board will need to pay for will be Port-o-lets (which Erb Transport will be covering) and advertising.

Financial Report: Lynne reported that not much has changed from the last P & L statement, only the counting of receipts for the golf tournament and this is changing daily at this time.

Paul gave a brief update on the golf tournament. Several silent auction items have been received and prizes are still being donated. We have 18 hole sponsors, 1 gold sponsor and 3 silver. The golf sponsor will be donating a sleeve of balls to each participant. To date there are 138 players.

Canada Day: Tim reported that the committees have met and events are coming together. 1800 duck tickets have been distributed for sale. They will also be available at the golf tournament and at the Tourism office. Any unsold tickets should be returned to Tim so that they can be sold at the Canada Day celebrations, July 1. It was strongly suggested that in 2009 we have ducks that can be sold.

Waterwheel Update: Dave told the committee that Bruce Junker had joined the meetings held with Nith Valley Construction, Advanced Millwright & CressRidge Machine. Bruce was able to bring everyone up-to-date on the past problems with the waterwheel and make suggestions for future repairs. At this time it appears that there will not be a major cost to the Board and the wheel will be running by Canada Day.

Food Booth: A discussion was held and everyone present agreed that there should be a food booth for both Downtown Sidewalk Sale Days and 150th Anniversary celebrations. It is a good source of income and all were reminded that this would be our only income for the 150th Anniversary. Attempts will be made to find volunteers.

Membership report: After discussion it was moved by Larry, second Ed and carried that members joining now to Dec. 1 will have their membership to Dec. 31, 2009. Cost would be at '08 prices but this would be subject to change Jan. '09. 150th Anniversary advertising and flyers will show all Board of Trade members.

Website: Nigel received a round of appreciation from the executive. His websites are up and running at www.newhamburg.ca and www.nhbot.ca. Fees for non-members are $50.

Garbage cans: Apparently we own them so we must empty them. Paul will speak to the Township.

Advertising clarification: The $710. cost is for Canada Day and Duck Race advertising.

New Business: Executive was reminded that our Government grant for Haly's job in the Tourist office was at the rate of $8.50/hr. however she would be paid $10/hr. She has been hired for 30/hours/week/8 weeks. After discussion it was decided to have Haly work an extra 5 hrs/week and give her this money in a lump sum at the end of her work term in the form of an Honorarium. We would still be under our budget figure of $1,000. She will also be asked if she could work an extra week. Moved by Dave, second Lynne.

There will be a review of the equipment presently in the Tourist office. It was felt the computer is in good condition, however we would need Internet access. Motion for 3 months Internet Lynne, second Dave.
