New Hamburg Board of Trade Executive Meeting
October 14, 2009
Present: Paul Knowles, Nigel Gordijk, Tom Hinz, Tim Bender, Doug Brenneman, Larry Zehr, Terry McIntosh, Dave Seyler and Audrey Cook.

Motion to approve minutes from previous meeting Tom, second Nigel. Carried
A full financial report was not available, however Paul reported that there is a bank balance of approximately $33,000. Duck Race, Golf Tournament and Food Tent figures are not yet available.
There will be a financial audit by carried out John Hanson, assisted by an accountant, before the end of 2009.
Having an in-house Visa was discussed. At all previous Board of Trade events a member's account was used and the executive felt that having our own would be much more convenient. Nigel will look into costs.
Advertising report: Nigel had nothing new to report, however it was felt that there was sufficient money left in budget to do an ad outlining all of the NHBT past year's accomplishments. Moved by Dave, second Nigel, carried.
Christmas Parade report: Paul reported that representatives of the Optimists and Lions were at the first parade meeting called by Chairs Nancy Knowles and Cheryl Gordijk. There were also a number of Board of Trade members present who were willing to volunteer.
Water Wheel report: Dave Seyler said that our waterwheel has stopped several times throughout the summer. Bob Zehr of Nith Valley Construction feels that a complete overhaul and new bearings may be needed. There will be an amount put in budget for this project. Dave stressed how pleased he was to work with Bob and asked that a thank-you be sent to him on behalf of all Board of Trade members.
New Hamburg Live! is in the process of becoming an incorporated not-for-profit organization with its own operating Board. As an incorporated company they would be in a position to apply for grants. However this is not expected to happen until early in the New Year and the Trillium Foundation has a grant that is needed and has to be applied for by November 1/09. NHBT will partner with New Hamburg Live so that we can assist them in their grant applications for this year only.
Nominating Committee update: A full list of nominees has been received from the committee. Beginning in November Cheryl Gordijk will take over the daily bookkeeping duties to make the job somewhat easier for the new Finance person.
Doug Brenneman has volunteered to review the Board of Trade Bylaws.
New Business: A year end/beginning dinner with old and new executive was discussed; date to be set later. A fixed menu would be available and everyone would pay for his or her own dinner and drinks.
