New Hamburg Board of Trade Executive Meeting

November 11, 2009

Present: Paul Knowles, Nigel Gordijk, Tom Hinz, Tim Bender, Doug Brenneman, Larry Zehr, Terry McIntosh, Ed Lemont, Lynne Mackie and Audrey Cook.

A motion to approve minutes from previous meeting was made by Tom, second Doug. Carried

Our present bank balance is $30,785. A breakdown of the summer's events will be forthcoming.

Volunteers are needed for Sunday, December 6, the day of the Christmas Parade for security, marshalling etc. Santa will be in the firewall after the parade to hand out bags of candy. Sobey'' donated a portion of the candy, in addition the Parade Committee shopped for bargain basement candy and No Frills donated the bags. Candy bags will be filled following the November General Meeting.

The Nominating Committee has filled all positions on the Executive.

The memorial bench presently downstairs in the Tourism Office will be moved in the spring to the front of the N.H. Independent office and the plaque honouring Mary Knowles will be in place.

One of our members has requested that the Board of Trade write a letter to those few downtown merchants who are parking on the main streets in front of their store all day while they work. The Township has told this member they just don't have the resources to enforce the 2-hour parking limit. The President will write a letter requesting these merchants to park elsewhere. The letter will be hand-delivered. Motion to approve, Larry, second Lynn. Carried The problems with our telephone system have not yet been resolved. Nigel will look at Rogers and Bell.

After discussion on Credit Card service, it was decided we would need a hand-held machine, as this service would not always be in the B of T offices. Paul will investigate with the bank. Motion to proceed with a limit of $30/month Ed, second Nigel. Carried A reminder to all New Hamburg merchants that New Hamburg Bucks cut-off date remains November 30. Motion to approve Nigel, second Terry. Carried

A motion to "hold the line" on membership fees for the coming year, Tom, second Terry. Carried. Photocopied membership forms will be available at the November General meeting.

Arrangements have been made for a Christmas dinner at the Waterlot on January 16. Both old and new Board of Trade Executive members and their partners are invited to attend. Cost is $35 per person and does not include beverage.

Our November dinner meeting will be a sit-down meeting catered by MeMe's. Paul will give a summary of the Board's activities over the past two years and the evening will conclude with volunteers filling candy bags.

New Business:
Cash awards from the Board of Trade are given to 2 Waterloo Oxford students each year. A Co-operative Studies Award for $250 and an Economics Award for $100. This has been done for a number of years and the executive will investigate whether this continues as is.

A foundry has been located in Montreal and the Board of Trade President's plaques in the lobby of the Community Center will be up-dated as soon as possible.
